Define the Options for a List Field’s Drop-Down List
When you add an extra list field, you need to specify the options that will be available via the list field’s drop-down menu. To do this, you need to use the Categories settings on the Edit Field window.
NOTE: List fields are often referred to as combo boxes or drop-down lists.
To access the Edit Field window, see Add a New Extra Field. You can also use the Edit Field window to modify the Target Type of an existing custom field (see Modify an Existing Extra Field). When you have displayed the Edit Field window, use the Categories setting to define the list options.
You can choose to:
- Add a new category:
- Select the Add button in the Categories section. This adds a new category to the list of categories. The categories are the options that will be available from the list field.
The new category is selected automatically, ready for you to enter its description. - Enter the description of the new category. Giving the category a suitable description will help other users determine its purpose.
- The first category that you add has 1 for its value, the second category that you add has 2 for its value, the third has 3 for its value and so on. If you remove a category, it does not affect the values of the remaining categories—the next category that you add will use the value that was freed by the removed category. For example, if there are three categories and you delete the second category and then add another category, the new category will have a value of 2. Even though it is the fourth category to be added, it does not have a value of 4; instead it uses the vacant value of 2 (made vacant by your removal of the second category).
- The value 0 is reserved for a 'none' option which is added to the list of options that you define automatically.
- If you want to change the value for the category, you can edit it (see below).
- Select the Add button in the Categories section. This adds a new category to the list of categories. The categories are the options that will be available from the list field.
- Edit an existing category:
- For each category, you can edit the name and/or value.
- To edit the name, access the Edit Field window for the relevant list field and left-click on the Description for the category that you want to rename. You need to left-click on the category once and then wait a short time (around a second)—a text entry cursor will appear in the Description. Type in the new description as required, using delete or backspace to remove characters if needed. Press the Enter key or select another part of the interface to confirm your entry.
- To edit the value, access the Edit window for the relevant list field and double-click on the category that you want to edit. This will display the Value window which shows the existing value (Old value) and has a field for the new value. Enter the value you require in the New field then select the OK button to confirm your entry.
- Remove a category:
- Select the category you want to delete, and then select the Remove button.
When you have defined the Categories settings, you can continue to define the other field settings as required.
